Reporting to and under the guidance and direction of the Chief Medical Officer (CMO), we are looking for an Executive Assistant to support the CMO and senior members of the Clinical Development Team and to play an active role in supporting the development of new treatments for cancer.
Identify opportunities to improve the efficiency of the team through organization, providing new tools, optimizing processes or providing support
Manage calendars proactively, with excellent communication and prioritization skills to keep clinical leadership executives informed and prepared for meeting commitments and responsibilities in a fast-paced and dynamic work environment
Plan domestic and international travel and process/track expenses and reimbursement
Assist with the organization of internal clinical and cross functional project team meetings as well as interactions with various vendors, CROs and consultant staff
Provide support for preparation of presentations
Maintain confidential files, both paper and electronic, and coordinate/organize a documentation filing system
Assist with processing purchase orders, work orders, tracking contracts and legal documents such as CDAs and consulting agreements, and processing invoices
Coordinate logistics for Clinical Advisory Board meetings, Medical Symposia, Data Safety Monitoring Board meetings (if applicable) and global regulatory meetings
Track submission schedules for key conferences and publications, schedule submission reviews and assist with meeting logistics
Organize professional endeavors such as external presentations or visits, speaking engagements, industry affiliations, and external Board or professional society memberships
